GURKHA GOLF SOCIETY (UK)

REQUIREMENT OF CONSTITUTIONAL AMENDMENTS (CS 17)

Since the current committee took over the responsibility of the GGS in Oct 2022, there have been some changes to the format and new ideas of plan on the calendar yet to be experienced. This is to ensure that the events are more interesting, challenging whilst seeking for new opportunities both in and out of country. To avoid confusion and likely disagreement amongst the members in the future, it is deemed necessary to amend the constitution by adding some but already implemented initiatives, which is discharging its affect harmoniously, and more over efficiently.
Constitution Ser (CS) 10/11
The following events have been officially recognised as the monthly/major competition throughout the year:
February – November.
Monthly Medal played regionally (South West, Central, North & South East) and co-ordinated by the Regional Lead (RL). Due to winter climate (cold weather, poor Golf course condition, and economy of effort), with kind agreement of RL, the competition scores are submitted to the GGS Sec to ensure that they are firstly recorded, handicap amended accordingly and secondly quantified to minimum 3 GGS monthly medals or competition played before qualifying for the Annual Championship (Green Jacket).
All major competitions are as follows:
- The Palace Cup
- The Peepal State Agents Championship
- Gurkha Hill Championship
- NepBridge Golf Championship
- QOGLR Charity Cup
- Annual Championship (Green Jacket)
- Gurkha Security Cup (Once in the two years)
- Chairman’s Cup
- Memorial Cup
- Additionally, GGS will run a Charity Golf in between when appropriate.
Membership Fee.
Constitution Ser (CS) 3. Due to a couple of new initiative from this year, with general members Agreement, the annual membership fee has been increased to £20. Members are requested to renew their membership each year in the earliest opportunity ideally from January. In nutshell, the membership effectively runs from Jan to Dec each year regardless of joining in the middle or any other time.
Entry to Nepal Amateur Championship (NAC)? Overseas.
Members with HC 3 and below will be asked to play a round of golf in competition format before maximum of two golfers are chosen to represent the GGS in a year. Obviously, the committee will also consider the skill consistency, willingness to do well for the GGS and pride he takes. With these some predominant factors, a final decision will be made. Once the committee receives NAC admin instruction from Nepal, financial deduction will be made. The individual will have to contribute not more than 1/3 of total cost (depending on availability of Sponsors).
The needs of GGS true HC. The GGS Secretary is to amend members HC as per their MM/competition results and publish onto the GGS website.
Introduction of Regional Sub branch (CS 6).
With ever-increasing popularity of GGS members from all over the country, it is becoming impossible to cater all golfers on the same day and venue competitions. This in mind, GGS has divided into four sub-branches as below:
- Central (covering Aldershot, Farnborough, Camberley and surrounding areas)
- South East (covering Maidstone, Folkestone and its surrounding areas)
- South West (includes Swindon, Wales and its surrounding areas)
- North/Midland (covering Catterick, QGS and GC bases and its surrounding areas)
HISTORY
Gurkha Golf Society (UK) was formed with all the golf playing serving and ex members of the Brigade of Gurkhas of the United Kingdom in mind. A group of players based in Camberley/Farnborough played a social round of golf at the South Wood Golf Course in September 2007 and during a round of drinks after the game decided a society for Gurkha Golfers would be very beneficial for all golf enthusiasts.
An idea became a plan and thus the objective of forming a society rolled into motion. A lot of hard work was put into creating a Society, one that will cater for all golf loving Gurkhas and dependents based in the United Kingdom.
1. NAME
The name of the Society shall be GURKHA GOLF SOCIETY (UK) as officially established on 01 October 2007.

3. MEMBERSHIP
Membership to the Association will be open to all Serving and Ex members of the Brigade of Gurkhas. It will also be open to all dependants of Serving and Ex members of the Brigade. The membership will not be open to non-members of the Brigade. Should anyone want to join, the matter will be taken up to the committee/members and a majority vote will decide on the person wanting to join.
4. ADMISSION OF MEMBERS
An intending member shall be required to fill in an application form (attached at Annex A) of the Society and submit it to the Secretary. The committee shall decide the application and welcome the member to the Society in the next monthly meeting. The committee along with the members of the Society has the right to reject an application for membership.
5. RIGHTS AND DUTIES OF MEMBER
5.1 All members shall be entitled to attend and vote during the Annual Meeting of the Society, unless otherwise disqualified or suspended by the Committee according to the rules and regulations of the Society.
5.2 Members may bring in guests to attend Monthly Medals but shall be responsible for the discipline of the guest during the entire meeting.
5.3 Members shall be obliged to follow the Society’s rules and regulations pertaining to the etiquette, dress and behaviour while on Monthly Medals / Annual Competition.
5.4 Members shall be obliged to abide by the financial rules and make payment of fees as notified by the Committee.
6. MANAGEMENT
6.1. The management of the affairs of the society shall be vested to a selected group of people referred to as? The Committee? The committee shall consist of:
a. Chairman
b. Vice Chairman
c. Co-ordinator
d. Secretary
e. Treasurer
6.2. The total persons in the Committee at any given time shall not exceed 10 members.
6.3. Committee members will be elected by a majority vote of members present at the Annual Competition Meeting of the Society for a tenure of one year. The current committee may send in their nomination for re-election.
6.4. The committee in the presence of the society shall have a meeting every month. In case any member of the committee deem it necessary to have an additional meeting, they can requisition it by requesting the Chairman to do so. Such meetings shall be convened by giving a 7 days? Notice which shall be issued by the Chairman.
6.5. The committee may appoint sub-committees with terms of reference to carry out various activities or business of the Society. The committee may, at its discretion co-opt members to sub-committee/s for a maximum tenure of one year.
7. THE CHAIRMAN AND VICE CHAIRMAN
7.1. The Chairman shall preside over all meetings of the Society.
7.2. The Chairman alone shall have a casting vote, which shall be used in the event of an equally split vote.
7.3. The Chairman shall be the chief executive officer of the Society.
7.4. The Vice Chairman in the absence of the Chairman shall preside and act in the absence of the Chairman.
7.5. The Vice Chairman with the Competition Co-ordinator shall be responsible for planning all the monthly medals and Annual Competition of the Society.
7.6. The Vice Chairman shall be responsible for preparing the agenda of all the meetings.
7.7. In case of death, disability or resignation of the Chairman, the Vice Chairman will take over as the Chairman for the remaining period of the tenure.
8. THE COMPETITION CO-ORDINATOR
8.1. The competition co-ordinator shall be responsible for organising all the monthly medals and Annual Competition.
8.2. He/She will be responsible for booking the club and planning the format of the competition and informing the members on the competition in advance.
8.3. He/She will be responsible for selecting a suitable location for the Annual Competition along with the Vice Chairman and planning the competition.
8.4. In case of death, disability or resignation by the Competition Co-ordinator, the committee will appoint a replacement for the remaining period of the tenure and have such appointment ratified at the next Annual Meeting.
9. THE SECRETARY
9.1. General administration and maintenance of the Society.
9.2. To keep record of all non-financial transactions of the Club
9.3. To keep the minutes of all meetings of the Society.
9.4. To execute all correspondence of the Society and oversee delivery of notifications and circulars to members.
9.5. To make arrangements for all meetings of the Society, and to organise and sponsor any special functions in consultation with the Chairman.
9.6. Responsible for updating the website. The web site will feature future dates for meetings, rules, member details and handicaps, competition details, results and other articles.
9.7. The Secretary shall also be responsible for updating the handicap of all the members of the Society. He shall also be responsible for preparing the Handicap Certificates should any member need one for the signature of the President.
9.8. The Secretary shall assist the Competition Co-ordinator on Monthly Medals and Annual Competition for the smooth running of the Competition.
9.9. In case of death, disability or resignation by the Secretary, the Co-ordinator will take over as the Secretary for the remaining period of the tenure.
10. MONTHLY MEDALS / SPONSORED EVENTS
All the members will be sent an available sheet for the month ahead. The date for the monthly medal and all the sponsorship events will normally be on a weekend due to the nature of the working community that we are. All members who sends an attendance to play are to try to turn up for the meeting, which will take the form of a round of golf and a drinks later on while discussing a few points here and there about the association. Contributions for the prize money will be available from the sponsor group/person.
11. ANNUAL COMPETITION / MEETING
An annual competition will be held each year to decide the player of the year and to give all the members something to look forward to. The annual competition will be held in the month of September. The Chairman’s Cup will be held in October and this will also be the final tournament of the current committee. The next committee will be announced after the competition. The format of the competition will have to be decided by the committee prior to meeting. Places in the competition will have to be booked in advance and all fees paid for before the competition.
12. ELECTIONS
12.1. Elections for Committee members shall be held every year. If there is a vacancy owing to resignation, death etc, it will be filled in by coopting a member and such co-option will be ratified the next Annual Meeting.
12.2. An election committee shall be formed by the Committee to conduct the election of the Committee members when due. This committee shall consist of five members of the Society. The election committee shall inform the members of the forthcoming elections by issuing a notice at least one month before the date of Chairman’s Cup. Nominations from members intending to participate in this election should be given to the election committee in writing at least seven days prior to the date of the Chairman’s Cup. No nomination shall be accepted thereafter. The nominations list will then be issued by the election committee through a notice seven days prior to the Chairman’s Cup. No nominations will be accepted during the proceedings of the Election Day.
12.3. Voting for the election of the Committee members shall be carried out by secret ballot.
12.4. All members shall be eligible to attend and vote personally subject to exclusion of those members who have been disqualified or suspended due to action taken against them.
13. DISQUALIFICATION/SUSPENSION OF MEMBERSHIP
Any member violating the rules of conduct of the Society will be liable to disqualification/ suspension from the membership of the Club by the committee. Such disciplinary action will be taken by the committee in accordance with the procedure laid down in the rules of conduct which will provide for written charge, defence b the concerned member and consideration and recommendation by a disciplinary committee.
14. RESIGNATION OF MEMBERSHIP
A member may resign from membership of the Society after making payment of all his/her dues and arrears to the Society, by notice in writing to the Secretary.
15. PROCEEDINGS AGAINST MEMBERS OR OUTSIDERS
The Secretary on the instructions from the Committee shall take legal or other proceedings against any member or outsider who the Committee considers has acted against the interest of the Society.
16. COMPLAINT
If a member of the Society is dissatisfied with the operation of the society or alleges malpractice resorted to by the Committee or any member of the Committee, a complaint can be addressed to the committee itself. The committee shall consider the complaint, take appropriate action and reply to the complaint.
17. AMENDMENT TO THE CONSTITUTION
Amendment to the Constitution shall be carried out by majority vote of all members present personally at Monthly Meetings / Annual Meeting.
18. INTERPRETATION OF THE CONSTITUTION
In the event of any doubt as to the interpretation of any provision of the Constitution or of the rules and regulations of the Society, the decision of the Committee shall be considered final. Legal opinion may be sought as to interpretation if considered necessary.
